Why a food bank needs this more than an office does

An office knows who its people are — they are on a payroll and they come every day. You have a roster that changes weekly, volunteers who came once last winter, drivers who are in the building for four minutes, and people arriving who you have never met. That is a harder problem, solved worse by a paper book.

Know who is on site, right now

Staff, volunteers and visitors on one live list. If the building has to be emptied, you can account for every person from a phone in the car park — including the volunteer who started an hour ago and whose name nobody remembers.

Volunteer hours, counted for you

Every sign-in and sign-out is recorded, so the hours your volunteers give are a report rather than a guess. Funders ask for that number; most organisations reconstruct it from memory.

Where this fits your obligations

The Health and Safety at Work Act 2015 makes a PCBU responsible for the health and safety of everyone at its workplace — volunteers and visitors included, not only paid staff. In practice that means being able to say who is in the building, and to account for them once it is empty.

On the people you serve

You decide whether they sign in at all, and what they are called when they do. EntryWatch lets you name the groups yourself — volunteers, kaimahi, whānau, manuhiri, drivers, visitors — and ask each group only the questions you actually need. If the right answer for the people you feed is that they are not recorded, that is a setting, not a workaround.

What does the offer actually include? ▾

The whole platform — sign-in for staff, volunteers and visitors, host notifications, evacuation roll-call, inductions, multiple locations and the admin app. Not a limited tier.

Do we need to buy any hardware? ▾

No. EntryWatch runs in any modern browser, so a laptop or an old desktop at the door works. If you already own an iPad or an Android tablet, the free kiosk app turns it into a proper sign-in station. A label printer for visitor badges is optional and only if you want one.

Who counts as a food bank? ▾

Food banks, food rescue organisations, community pantries and the charities that distribute for them. If you are not sure whether you qualify, ask — we would rather say yes than make you guess.

How long is it free for? ▾

Tell us about your organisation and we will confirm the terms in writing before you set anything up.

How long does it take to set up? ▾

Most organisations have their first location running in under an hour. If you would rather not do it yourself, we will do it with you on a call.

What happens to the data about people who come to us? ▾

It stays in your own organisation record, private to you, and you control how long it is kept — there is a retention setting that deletes old records automatically. It is never shown to the next person signing in.
