Work health and safety, in plain terms
Every state and territory except Victoria has adopted the model Work Health and Safety Act. Under it, a PCBU's primary duty of care covers "other persons" at the workplace — your visitors, couriers and contractors — not only your workers. The WHS Regulations also require an emergency plan with procedures for evacuation, and those procedures have to be tested. Victoria's Occupational Health and Safety Act 2004 places comparable duties on employers towards anyone at their workplace.
Both come down to the same two questions: who is here right now, and can we get them all out? A paper book is only as accurate as the last person who remembered to sign out, and when the alarm goes it stays on the desk. Do we need a receptionist to use it? ▾
No. Visitors sign themselves in on a tablet at the door or by scanning a QR code on their own phone, and the person they are visiting is notified automatically. It works with or without a front desk, and in a shared lobby.
How does this help with our WHS obligations? ▾
Under the model Work Health and Safety Act a PCBU must ensure, so far as is reasonably practicable, the health and safety of other people at the workplace — visitors and contractors included — and keep an emergency plan with evacuation procedures. Knowing exactly who is on site, and being able to account for them at the assembly point, is a practical part of both. In Victoria the equivalent duties sit in the Occupational Health and Safety Act 2004. EntryWatch supports those duties; it does not discharge them.
Can contractors complete an induction before they start work? ▾
Yes. Contractors are shown your site induction and asked to accept it at check-in, or complete it on their phone before they arrive, and the signed record is stored against the visit. You can also require licences or insurance certificates and track when they expire.
What about visitor privacy? ▾
A paper visitor book shows every visitor the name, company and phone number of everyone before them. EntryWatch keeps sign-ins in a private record your staff can see and visitors cannot, and you choose how long records are kept before they are purged automatically.
